At Ember & Arrow, we believe movement has the power to build strength, confidence, and community. Our mission is to create a welcoming space where every person feels supported, encouraged, and empowered to move in a way that honors their body.
By purchasing memberships or class packages, attending classes, participating in events, or using our website and services, you agree to the following Terms & Conditions.
Liability Waiver & Assumption of Risk
Your safety is our highest priority.
Before participating in any class, workshop, event, or fitness activity, all participants are required to complete and sign the Ember & Arrow Collective Liability Waiver.
By participating in any activity offered by Ember & Arrow Collective, you acknowledge and agree that:
Physical exercise—including strength training, indoor cycling, mobility, stretching, recovery, and functional fitness—carries inherent risks of injury, illness, disability, or, in rare circumstances, death.
You voluntarily choose to participate and assume all risks associated with participation.
You certify that you are physically capable of participating or have consulted your physician prior to beginning an exercise program.
You agree to immediately stop exercising and notify an instructor if you experience pain, dizziness, shortness of breath, or any other concerning symptoms.
You release, waive, and hold harmless Ember & Arrow Collective, its owners, instructors, employees, contractors, volunteers, and affiliates from liability for injuries, damages, or losses arising from participation, except where prohibited by applicable law.
Failure to complete the required waiver may result in denial of participation.
Instructor Qualifications
Our instructors are passionate fitness professionals committed to continual education, coaching development, and creating a safe, supportive experience for every member.
While our instructors actively pursue ongoing education and training, individual instructors may not hold certifications in every specific fitness modality or format incorporated into a class.
By participating, you acknowledge that:
Instruction is provided based on each instructor’s education, experience, and ongoing professional development.
You are responsible for exercising within your own abilities and limitations.
You are responsible for selecting modifications that are appropriate for your body.
Ember & Arrow Collective makes no guarantee of specific fitness results and is not responsible for injuries resulting from participation when safety recommendations or instructor guidance are not followed.
Medical Conditions
Please consult your physician before beginning any exercise program.
You are responsible for informing your instructor before class if you:
Are pregnant
Have an injury
Have recently undergone surgery
Have medical restrictions
Have any condition that could impact your ability to safely participate
Our instructors are happy to provide modifications whenever possible; however, you remain responsible for determining whether participation is appropriate for your individual health and fitness level.
What to Bring to Class
We’re so excited to be part of your journey.
Whether it’s your first class or your hundredth, every person started somewhere. Walk in exactly as you are—we’ll meet you there.
We recommend bringing:
Water
Comfortable workout attire
Athletic shoes (for applicable classes)
A yoga mat for floor-based classes (loaner mats are available if needed)
Please arrive 10–15 minutes early for your first visit so you have time to check in, meet your instructor, ask questions, and get comfortably set up before class begins.
Your First Class
Getting started is easy.
Create your account through our booking platform.
Complete your required Liability Waiver.
Purchase a membership or class package.
Reserve your class.
Arrive early and introduce yourself—we’re excited to meet you.
Studio Access
Unless otherwise stated, memberships and class packages may be used at any Ember & Arrow Collective location.
Memberships, Class Packages & Expiration
All purchases are final.
Unused packages may be exchanged for another package of equal or greater value at management’s discretion.
Packages are non-refundable once any class has been redeemed.
Class packages expire six (6) months from the purchase date unless otherwise specified.
Package extensions or freezes are considered only for significant medical circumstances and require written documentation from a licensed physician. Approved freezes are limited to one (1) month.
Membership Billing & Automatic Renewals
Certain Ember & Arrow Collective memberships are offered as recurring monthly memberships that automatically renew until canceled.
By purchasing a recurring membership, you authorize Ember & Arrow Collective to charge your designated payment method according to your selected membership plan.
Members acknowledge and agree that:
Membership dues automatically renew each billing cycle unless canceled.
Payment information must remain current and valid.
Declined payments may result in suspension of membership privileges until payment is received.
Membership pricing, benefits, and offerings may change with reasonable advance notice.
Membership cancellations must be submitted in writing at least 7 days prior to the next billing date unless otherwise stated in your membership agreement.
Membership fees already processed are non-refundable except where required by law.
Cancellation & No-Show Policy
To respect the time of fellow members and our instructors, class reservations must be canceled at least 12 hours before the scheduled class.
Late cancellations or no-shows may result in:
Loss of the class credit
Applicable late cancellation fees
Membership penalties consistent with your membership agreement
Weather-related studio closures initiated by Ember & Arrow Collective will not incur penalties.
Our cancellation policy is applied consistently to all members to ensure fairness and class availability.
If you choose to join a waitlist and are automatically enrolled before the cancellation window closes, you are responsible for managing your reservation.
Class Levels
We don’t believe fitness should have a starting line.
Our classes are intentionally designed to meet you wherever you are in your movement journey.
Whether you’re brand new or an experienced athlete, our instructors provide modifications and progressions whenever possible to help you move safely and confidently.
Age Requirements
Participants must be 14 years of age or older (or enrolled in high school) unless otherwise specified for youth or family programming.
Participants under 18 must have a parent or legal guardian complete all required waivers and consent forms.
Music Disclaimer
Our classes are designed to be energetic and motivating.
While we strive to use clean playlists whenever possible, some music may contain explicit lyrics.
Participation indicates your acknowledgment and acceptance of this possibility.
Personal Hygiene & Studio Environment
We are committed to creating a clean, welcoming environment where everyone can breathe deeply and move comfortably.
To help maintain that space, we ask all members to:
Wear clean workout attire.
Practice good personal hygiene.
Wipe down equipment after use.
Refrain from smoking or vaping on the premises.
Please also avoid bringing clothing, bags, or personal belongings carrying strong smoke or other overpowering odors into the studio, as lingering odors may negatively affect members with asthma, allergies, migraines, or other respiratory sensitivities.
Management reserves the right to deny participation when necessary to maintain a healthy and comfortable environment for all members.
Personal Property
Ember & Arrow Collective is not responsible for lost, stolen, or damaged personal belongings.
Please leave valuables at home whenever possible.
Photography & Media
From time to time, photographs or videos may be taken during classes, workshops, or studio events for marketing and promotional purposes.
By participating in classes, you grant Ember & Arrow Collective permission to use photographs or video in which you may appear.
If you prefer not to be photographed, please notify a member of our team before class begins.
Code of Conduct
We believe movement is stronger together.
We ask every member to help us create a welcoming, respectful, inclusive, and encouraging environment.
Harassment, discrimination, abusive language, threatening behavior, intoxication, or conduct that disrupts the experience of others may result in immediate removal from class and suspension or termination of memberships without refund.
Right to Refuse Service
Ember & Arrow Collective is committed to maintaining a safe, respectful, and positive environment for all members, guests, and staff.
We reserve the right to refuse or discontinue service, deny entry, or terminate memberships or class privileges, with or without refund where permitted by law, for reasons including but not limited to:
Failure to comply with these Terms & Conditions or studio policies.
Unsafe or inappropriate behavior.
Harassment, discrimination, or abusive conduct toward members or staff.
Intoxication or impairment due to drugs or alcohol.
Actions that jeopardize the health, safety, or well-being of others.
Repeated disruption of classes or studio operations.
Failure to follow instructor direction or safety guidelines.
These decisions are made at the sole discretion of Ember & Arrow Collective to preserve a safe and welcoming community for everyone.
